The prepaid tutoring package policy worksheet

Fill in every line before you sell your next block of sessions, and the awkward conversations in February answer themselves.

Almost every dispute in a package based tutoring practice traces back to a line that was never written down. A family thinks the ten sessions have no end date. A tutor honors a make-up six weeks after the block expired. A parent asks for a refund on four unused sessions in May and you have no policy, only a feeling about what is fair.

This worksheet is the document that prevents that. Work down it once, write a real answer in every blank, and you have both the terms for your agreement and the settings for your package in TutorCredits. It takes about forty minutes the first time and ten minutes a year afterward.

Stage one: define the package you sell

Stage two: write the credit rules

Stage three: settle the money terms

Stage four: put it in front of the family

How to use it

Work through the worksheet with your actual last five packages open in front of you. For each line, ask what you did the last time the situation came up, not what sounds most professional. The answer that survives contact with a real parent on a Tuesday evening is the one worth writing into the agreement.

When the worksheet is filled in, two things happen at once. Your package agreement almost writes itself, because every clause it needs is already answered in your own words. And your package settings become obvious, since expiration windows, low balance thresholds, and make-up rules all map to something you configure once and stop thinking about.

No newsletter comes attached to the package policy worksheet, and there is no sequence of follow up mail waiting behind it. If you would rather skip the form, write to jimenezjulien42@gmail.com and the same worksheet comes straight back to you.

Questions about this document

Is this worksheet a legal agreement?

No, it is the working document you fill in before an agreement is drafted. It gathers the decisions a tutoring services agreement has to make, in the order that makes them easy to answer. Have an attorney in your state review the final language before you use it with families.

How different should my summer packages be from school year packages?

Usually shorter expiration windows and tighter make-up rules, because families travel and a summer block that drifts into September stops being a summer block. Many practices also sell larger summer packages, since students have daytime availability. Fill in a separate copy of the worksheet for the summer offering.

What if I already sold packages without these terms in writing?

Honor existing blocks as they were sold and apply the new policy to the next purchase. Send a short note explaining what is changing and when, and give families a window to buy at the old terms. That handling costs a little margin once and buys the credibility of a policy you can enforce.

Turn the filled in worksheet into a live package

Once the expiration window, the make-up rule, and the low balance threshold are written in your own words, they stop being policy and become settings. Bring the completed worksheet to a demo call and we will build the package exactly as you wrote it, then sell it to a test student so you can read the parent view. The February conversation about four unused sessions never gets started.
